Screen Overview
This is the first of two screens used to inquire on and work with collections data, including overdrawn lines of credit, delinquent and written-off loans, and negative balance share accounts.

The data for all of these inquiries comes from the COLL file, which contains all collection information. Data will be current as of the last time this file was updated, either during the beginning-of-day or end-of-day delinquency monitoring process as determined in your credit union's system configuration. NOTE: The delinquency aging screen (Tool #225) determines the loans that will be included in the collection file. Refer to this topic for additional information.
This first screen lets you decide what accounts you want to concentrate on today. You then decide whether you want to take advantage of the combined inquiry feature which will show you other accounts these members have that need attention.
For example, if you are working your delinquent loans, it is a good idea to also see any other accounts your delinquent members have that should be handled when you contact the member. If Mary Smith has a delinquent loan and also a negative balance checking account, you can discuss both of them with her during the same call. This avoids extra work for you and is more convenient for the member.
Using the Combined Collections Inquiry: Step by Step

First, use the three optional fields at the top of the screen if you want to limit your list to accounts assigned just to your Collector ID, or if you want to work just a single Corporation or member Branch ID. Leave them blank if you don't want to use these filters.

Next, decide “What accounts do I want to work today?” and check the appropriate Work... checkbox. For example, if you are working delinquency today, click the Work delinquent loans checkbox.

To narrow down the list a little more, you can use the selection fields just below the flag you checked to choose things like delinquency level, number of days negative, overline amount, etc. NOTE: If any selection criteria are entered, the corresponding checkbox MUST be checked or you will receive an error message.

For example, if you want to work delinquent loan accounts that are at levels 3 and 4, after placing a checkmark in the Work delinquent loans checkbox, enter the levels into the Delinquency level From / To fields.

Finally, if you want to also see any other accounts these members have that need attention, be sure to check the Show all other accounts for these members flag (this is checked by default).

For example, if you check Work delinquent loans and set a delinquency level of 3 to 4, then check the Show all other accounts... flag, you will see all delinquent loans at level 3 or 4, plus any other negative balance, overline, or written off loans for those delinquent members.

Press Enter to proceed to the Collections Member Inquiry screen.
Tips

If the Collections Inquiry doesn't show you the accounts you want, you can use Backup (F3) on that screen to return to this selection screen (your settings will be saved until you exit to the Home Page) and make changes as needed. Remember that if you remove a checkmark in one of the Work... fields, you must clear out any corresponding selection criteria below that flag to avoid an error message.

To see everything in your collections file at once, check all four of the Work... checkboxes. (In this case it doesn't matter if you check the Show all other accounts... flag or not.) NOTE: The delinquency aging screen (Tool #225) determines the loans that will be included in the collection file. Refer to this topic for additional information.

If you want to work with individual inquiries, check just one of the Work... checkboxes and set the related selection criteria as needed. Then, to avoid seeing other types of accounts, be sure to remove the checkmark from the Show all other accounts... flag.

For the Months delinquent and Days delinquent selection criteria, although you can use both at the same time, it is usually not recommended because of the way this data is stored on the loan account as two separate fields: number of months and number of days. The most common method is to use the Months delinquent criteria when you want to work members over, say, 2 months delinquent. Days delinquent might be helpful if you just want to look a members that are, for example from 15 to 30 days delinquent (you would then leave the Months delinquent fields blank). NOTE: The delinquency aging screen (Tool #225) determines the loans that will be included in the collection file. Refer to this topic for additional information.
