MANAGER'S NOTES:
A Special Note to Credit Union Leaders

The CU*BASE Management Functions in the Analysis category are designed to let you, as a credit union leader, take a look at how your organization is processing, through the review of one of your credit union's most precious assets—data. No institution can flourish without a leader who can see the big picture. Take the time to get to know these CU*BASE tools, and you will get to know your credit union even better.

The Management features are divided into two parts: Management Functions and Management Review.

Credit Union Management Functions

These features are designed to control employee access and the maintenance of rates and work with actual credit union data in a modeling and forecasting mode.

In particular, the forecasting features are used for answering questions like these:

What if I increase rates by 0.25%? . . . How many certificates will mature in the next quarter and what is the effect of pricing them all at 5.52%? . . . What is the nominal rate required to have a 6-month certificate pay 7.125% APY? . . . How many members and what average balances would be affected if I decided to pay split rates on my membership shares? . . . What percentage of my members are on the “border” between Tiered Service Levels? . . . How does this year's budget compare to last year? To the year before?

These tools are interactive with the current database . . . are you?

Credit Union Management Review

The Management Review options available on the CU*BASE Management Functions are designed to allow the credit union leader to keep a daily handle on the results of key credit union areas.

It is not always important that a good leader be able to do the day-to-day work of every employee, or even that of a few key employees. It is essential, however, that the leader understands the results of everyone's hard work. CU*BASE helps you focus on the database results of key departments through the review of these inquiry options. Each inquiry will have specific information that is key to the leader and their ability to communicate the credit union's purpose to members and other outside parties.

It is important that all employees understand that their work can easily be reviewed and critiqued by their management team and that no one person's output is insignificant to the performance of the team. By taking a few minutes to be familiar with these tools, the credit union leader can be very effective in directing or setting a precedent for the communicated results of each employee.

From compliance to disaster recovery, every credit union leader is charged with getting the most from their data processing solution. We challenge you to review these features and judge for yourself.

Loan/Share Trial Bal. Review

Analyze loan-to-share ratios as of the current date, or as compared to other dates.

What is the average savings balance on the average Friday? What is the loan-to-share ratio of the credit union versus last quarter? If certificates have increased, which products are leading the way?

A/P Vendor Review

Check on the status of unpaid invoices, look up a vendor name and phone number, see the total amount paid to a vendor to date, or investigate the status of a purchase order.

How much money did we spend with the phone company this year? What is the fax number of the power company? What was the salesman's name who sold us our last company car? What bills are outstanding as of this morning?

FA/Property Review

Check on the depreciation status of a fixed asset, review the monthly amount being amortized on a prepaid expense, or examine the current accrual status of an accrued expense item.

What is the trade-in value of the receptionist's desktop computer? What is the monthly cost of the loan department's credit bureau machine? What were league dues for the last three years? What figure are we using to accrue this year's property taxes?

Financial Statement Review

Examine the credit union's latest Balance Sheet and Income Statement.

What have loans done over the last six months? If equity is up, what category of equity leads the way? Salary expenses have been consistent for how many months?

SEG/Sponsor Review

Add or update information on a sponsor organization, look up a sponsor phone number, or peruse a list of all current sponsors.

The name of the CEO for our largest SEG is...? Her phone number is...? How many SEGs are involved in the hairdressing industry? What are the key payroll numbers for our largest SEG? How many sponsors are we currently tracking?

Investment Review

Check on the status of credit union investments.

Which investments mature in the next 90 days? What is the principal value of investment 106B? How many agency issues are currently on the books?

Collection Review

Inspect delinquent, negative balance and overline accounts.

What was our 2-6 month delinquency ratio as of this morning? When was the last time our collector called our favorite delinquent member? What was the result of the conversation? Are we prepared for the bankruptcy hearing on account number 139992?

AIRES File Review

View member files submitted through an AIRES download.

What were the key balances communicated to the examiner in our last AIRES audit? How did we code Christmas Club accounts? What purpose code was used for commercial loans?

File Maintenance Review

Inspect which member accounts have been maintained, and by whom.

How many member loans had rate changes this month? What were the teller-to-vault transfer totals for May 3? Did any teller make unauthorized changes to an employee account?

Accounting Review

Scan the entries made to any General Ledger account.

What were the gross loan write-offs for the last six months? What was the net change in automobile loans for August 1995? What is the key G/L account used for tracking teller overs and shorts?

Cross Selling Review

View the status of tasks on your credit union's Cross Sales Task List. All members for whom task information has been recorded will be included.

How many members are sitting at a “pending” status for our new credit card program? Which employees have the most task entries recorded?

Member Survey Review

Display all recorded responses to your CU*BASE Member Survey questions.

How many members have completed the survey so far? What are the result of the marketing portion of the survey? How many members indicated they were interested in online banking on the survey?
