Produce a Check or Money Order

This screen is used to produce either a check or a money order written against a member's account. The top portion of the screen displays member information that can be helpful in making decisions about fee waivers according to credit union policy.

This screen appears when you use the Check Disbursement processing code (“C”) or the Money Order processing code (“M”) the Account Selection Screen or the Main Teller Posting screen.  If you access this screen from the Account Selection screen you will first access the Verify Member screen.

Money Orders - Overview

Screen Overview

The Withdrawal Account Information section displays the account from which funds will be taken for the check or money order. This account was specified on the first Teller Posting screen.

  • Notice that the Available balance shown here will take into account any funds being deposited into this account during this same transaction. This is so that the check/money order you print can use funds being deposited during this transaction. Because the transaction has not technically been posted yet, the current Balance will not yet reflect this amount.

Enter the amount and pay to information. (If the employee is configured as an “other staff” the pay to section not be automatically populated. This screen follows the Privacy Configuration.)

The default fee will appear (if your credit union is configured for check printing and money order printing fees), and, if allowed by the configuration, can be changed if necessary. (Any fees that are manually changed or waived will be included on the Fee Waiver Information Report.)

Use Enter to post and print the check or money order. The screen will clear and the default fee will be reset. If no other checks are needed at this time, use Post (F5). Otherwise, continue creating items, using Enter to process each one. When done, you must use Post (F5) to complete the member transaction.

Each Payee will be run through an OFAC scan. Each payee will receive a scan. If you create two checks for a payee (in sequence) the subsequent check will not receive a scan but if you alternate payees the payee will receive a scan the second time. (Mary, Bob, Mary = three scans, while Mary, Mary, Bob = two scans).

Pay to Name Fraud Block List

After the OFAC scan is run, a Pay to Name fraud block list scan is run against the name entered in the Pay to line.  Take care to enter the Pay to name in a way that the scan will most effectively be run. If the Pay To Name is a match or partial match to the name in the block list, you will see a Suspect warning message.

My “pay to” name that I am running against a fraud list has a common word, for example LLC, Co., Inc., Incorporated, or Company. What should I enter in the Pay to line?

  • NOTE: The name and address of the “Pay to” for this check will be printed on the middle portion of the check stub to fit into a standard window envelope. To keep it from being obvious that a check is enclosed, be sure to fold the check so that that middle portion appears in the window. The account number will not be printed on the check stub for privacy reasons.

Important Cautions

  • If you leave the screen blank (do not enter an amount), using Post (F5) will complete any other portions of the transaction that were entered on previous teller screens without producing a check or money order.

  • Once an amount has been entered, however, you must post and print the check/money order.

  • Because the items go directly to the printer when Enter is used, be sure to have check paper ready to go before creating your first check or money order. The same paper can be used for both.

  • Finally, once Enter has been used to create the check, be careful not to use Enter a second time (unless another amount has been entered). This can cause check numbering sequence conflicts. Instead, once the last check has been created, use Post (F5) to leave the screen.

  • The back up arrow (F3) can be used to return to the previous screen only if no checks have been entered. If a check has been printed, you must use Post (F5) to continue.

  • SPECIAL NOTE REGARDING MONEY ORDERS: If you do need to enter a Pay To name, only one line of text will fit on a money order form. Do not enter an address.

If a check needs to be reprinted because the Pay To information is incorrect or the check itself was damaged, use the Reprint CU Checks feature to mark the original check as spoiled and print another check for the same amount. (This creates a new check in the check register but does not produce another withdrawal from the member's account.)

Posting a Transaction at the Teller Line that Causes an Automated Non-Return Fee to be Charged

You can configure your Overdraft/ANR settings so that you can post a withdrawal, either with cash, check or money order, into the account's negative balance (ANR) limit.  Learn more in the Automated Non-Return (ANR) processing topic and in the Automated Non-Returns booklet.  A confirmation window will appear for each fee that will be charged. (Fees are charged per sub account that dips into the ANR limit and also per check/money order that dips into the ANR limit.)

Balance

The current balance of the account from which funds will be taken for this check or money order.

Available

The total amount of funds available for release (current balance less any par value or frozen funds).

Fees

The total amount of fees for items generated on this screen. This amount will update as each item is entered and Enter is used.

Disbursed

The amount for all checks/money orders generated on this screen. After all data is entered, use Enter to update this total and enter the next check or money order.

Pay to the order of

These lines should be used for the payee name, address, city, state and ZIP code.

  • SPECIAL NOTE REGARDING MONEY ORDERS: If you do need to enter a Pay To name, only one line of text will fit on a money order form. Do not enter an address.

Check amount

Enter the total amount of the check or money order, including decimal digits (i.e., for $25.50, type 2550).

  • BE CAREFUL: Once an amount is entered, you will not be able to back out of this screen without posting and printing the check.

The fee amount which will be charged for the check or money order currently being entered. This amount will be withdrawn from the account along with the check/money order amount. After Enter is used, the field will reset back to the default rate for the next item.

This field will only appear if your credit union is configured to require check or money order printing fees. When the screen first appears, the system will check to see if the member is subject to fees, both by checking the fee waivers on the fee configuration itself, and by checking for this members' status in your Tiered Services and Marketing Club programs.

  • For members who are waived from fees because of age or aggregate balances, the field will not appear. If the member is subject to fees but is eligible for free items, the field will begin displaying only after all the allowed free items have been used.

IRA code or HSA Code

For disbursements from an IRA account or HSA account, an appropriate IRA or HSA account number must be entered. Click the lookup to select the appropriate code.

Remitter

By default, the member's name is entered here. However, any remitter name can be entered, along with any other information desired by the member (account #, note, etc.).

·NOTE: Your screen may also show an additional field in which you must enter the check or money order number as shown on your paper stock. Follow your credit union procedures regarding this field, if it appears.

Comments (F1)

Use this to display the Member Comments pop-up window, to view any special comments or instructions pertaining to this member.

Back up arrow (F3)

If no checks have been entered, use this to return to the previous screen. If checks have been entered, you must use F5-Post to post the transaction to the member's account.

Post (F5) 

Use this to post the current transaction and print all checks and receipts.
