Screen Overview

This screen is used to update the detailed information recorded for a member share draft/checking account.

  • Use Secondary Names (F14) to update joint/misc. owner and/or beneficiary information for this sub-account. (CU*TIP: If this button has an exclamation point  next to it on the screen, there is at least one joint owner, misc. owner, or beneficiary on record.)

  • Use Work Checklist (F18) to move to the checklist for this dividend application. This will allow you to “check off” items on checklist when opening the account. This checklist can be used by your Member Service team to ensure each member receives the same level of service. (If this is your base (000) account, this checklist is also used as the membership checklist for the Open/Closed Dashboard.) SEE ALSO: Creating Checklists for information on configuring this list.

  • If the Dividend pay code on this account is set to Check, use Div Check Pay To (F22) to display the Share Dividend Checks window and adjust the pay-to information for the dividend checks that are generated.

Custom Fields

Using custom fields your credit union can create and maintain unlimited custom fields that are unique to your credit union. You define the field name as well as the rules that control what data can be entered:  dollar amounts, quantity, percentage, text, yes/no checkbox, date, or a defined list (the selections of which you will also define) on the account custom data configuration screen, then input the data and view it in the Account Update screens (such as this screen) and viewed in Account Inquiry screens.  Learn more about Custom Data Fields.

  • An exclamation point on the Custom Fields button indicates that custom data has already been input for this account.  Click the button to access a screen and view the data or input additional data.

Integration between CU*BASE and Your Imaging Solution

This screen has a link to your imaging solution to further integrate with CU*BASE.  The “Scan e-Document” button is used for scanning a document into your imaging solution.  The “View e-Document” button is for retrieving images from your imaging solution.

  • Remember: Only documents warranted by the CU*Spy online vault can be scanned into that vault.

  • Clients with in-house imaging solutions should contact Imaging Solutions for assistance configuring links for use with your vault.

Field Descriptions

Fields in blue text require that your employee ID has Maintenance Tier 2 special security in order to update the fields.

Field Name

Description

Last maintenance date

The last date on which this account information was maintained.

Current balance

The current balance of the account.

Account opened by MSR

The Employee ID of the employee who actually opened the account. (Will be blank for accounts opened before June 16, 2003.)

Date opened

The date on which this account was opened.

  • NOTE:  When this field is edited, the date entered must be on or later that the open date of the membership.  If this date cannot be changed, then the open date of the membership must be changed to be on or earlier than the date you wish to use in this field.

First Column

Last accrued date

The last date the system calculated dividends. This figure is calculated by the system, so it is recommended it not be changed here.

Dividend Post Code

This field should normally be left blank to indicate normal dividends as determined by the account type. In rare cases, the flag can be used to flag the account so that it does not earn dividends, using one of the following codes:

(blank) Account will earn dividends normally according to the product configuration.

N Account should not earn dividends for the current dividend period only. After dividends are posted for the period, the system automatically resets this flag back to “blank” so that dividends will be paid as normal.

X Account should not earn dividends. This code can be used as a “permanent” flag to indicate that no dividends should ever be earned on the account.

B (Applies to products that use Qualified Dividends only.) This is a code used when calculating and posting dividends, and is temporarily attached to accounts that do not meet configured requirements for Qualified Dividends. Instead, any accounts flagged with this code by the posting program will receive the configured base rate on the product (referred to as the “non-qualified rate”). This code will be reset to blank once dividends are posted. Do not enter this code manually on any account.

Accrued dividend

This field indicates the total amount of dividends accrued by this account.

Dividend Paid:

These fields indicate paid YTD dividends for each calendar quarter.

Accum Balance

This field is a cumulative total of each day’s account balance for the entire dividend period. Every day (including non-business days) the system takes the current balance on the account and adds it to this bucket.  (By the end of a period, this can end up being a very large number, even on an account with a small balance.)

This total is used by the system when calculating Average Daily Balance.

Dividend pay code

If allowed by the dividend application configuration, this field can be changed to control where dividends are paid. Enter one of the following codes:

0 Transfer - Dividends will be paid directly into the account shown in the Dividend Transfer Account field.

1 Addback - Dividends will be added back to this account.

2 Check - Dividends will be paid to the member by check. (These checks are printed using the Print Auto/Mail Checks feature accessed via Tool #632 Print Auto/Mail Checks.)

4 Transfer to G/L – The selected percentage of dividends will be paid to a selected  G/L. All dividends that are not paid to the G/L will stay in the member’s account.  (Not available on base share accounts.

  • Once this option is selected, two additional fields will be revealed for entry of the G/L and as well as the percentage of the dividend that should be transferred.

Div. transfer account

If the Dividend Payment Code for this account is set to 0 for transfer, enter the account base and suffix where dividends should be deposited when paid on this account.

Accrued club benefit

This fields shows Marketing Club benefits that have been accrued but not yet paid to this account.

YTD club benefit

This field shows all Marketing Club benefits that have been paid to this account year-to-date.

Check digit

Used in the MICR line for account number verification during check printing and check processing.

  • IMPORTANT: Programming must be done in CU*BASE to ensure that the check digit shown here uses the same formula as dictated by your check printing vendor. In addition, you must contact a CU*BASE representative if any changes are anticipated that would affect the calculation used by the CU*BASE Check Digit Calculator.

Set Div Checks Pay to Address

If Dividends will be paid to the member by check. (These checks are printed using the Print Auto/Mail Checks feature accessed via Tool #632 Print Auto/Mail Checks).  Click the Specify Dividend Checks Pay To/Address button (or F22) to specify the Pay To and address information used for these dividend checks.

Second Column

Dividend application

The dividend application (DivApl) code indicating the account type.

G/L account

The G/L offset account for this account type.

NOTE: If this account number is changed on an existing account, the system will write an entry to GHIT in order to move the balance of the account to the other account as part of the nightly TR journal entry. (You will see the entry on your books the next day.) The GL entered here must match the GL that’s configured on the dividend application code.  

# of withdrawals

The total number of withdrawals made from the account during the current month.

# of transfers

The total number of transfers made from this account during the current month.

Joint Owner 1
Joint Owner 2

These fields will show the joint owner names that are flagged to print on correspondence (although you can have unlimited joint owners on file, only two of them can print on correspondence such as statements).

# of secondary names

This field shows the total number of secondary names (joint owners, misc. owners, and beneficiaries) on the account. Use Secondary Names to view/change these names.

Secured balance

The total amount of funds in this account which are pledged as security on a loan (Pledged Shares) or other Miscellaneous Secured Funds records.

  • BE CAREFUL: This figure comes from the Pledged Shares and/or Misc. Secured Funds detail records, and cannot be changed to a total that does not match those records. Instead, use the Update Misc. Secured Funds feature or the Pledged Shares option (Update Misc. Loan Information) to modify or delete the secured record.

Minimum balance

The lowest balance recorded during the current dividend period.

Annual Backup W/H

If the member is subject to backup withholding, this field shows the amount withheld from this account year-to-date.

Uncollected amount

The total amount for any check holds that have been placed on this account through the teller posting system. Once the hold has been released, this figure will revert back to 0.

  • BE CAREFUL: Because this field is automatically updated by the system, it should generally NOT be changed here. Instead, use the Update Uncollected Funds Infor. feature to modify or delete the check hold record.

If changes are made to this field, the amount you enter MUST match the total of the uncollected funds detail records.

1st date negative

The date on which this account first showed a negative balance. Accounts with a positive balance should show 000000 in this field.

  • Account balances are evaluated every day during EOD processing (regardless of when your CU does delinquency monitoring); if the account balance is brought positive, this date will automatically be cleared.

Negative balance limit

This field controls how far this account can be taken negative by CU*BASE Automated Non-Returns (ANR) processing.

Locked

This field pertains to the Negative Balance Limit field. If checked, this member's negative balance limit will be locked so that it will not be updated by any automated processes.

  • The purpose for this field is to be able to set a fixed limit for certain special memberships (board members, employees, etc.) so that their limit will not be altered by any procedure that floods accounts with updated limits. (You could even set the limit to $0 and lock it so that the member is never eligible for automated negative balance processing, also known as automated non return (ANR) automated processing.   • NOTE: Your Employee ID must have Maintenance Tier 2 security clearance in order to check or uncheck this box.

ATM Network ID #

The ATM card identification number.

# of ATM Overdraws

(Not used for online ATM systems.) The total number of ATM overdraws during the current month.

# of ATM Withdrawals

(Not used for online ATM systems.) The total number of ATM withdrawals during the current month.

Freeze

Use one of the freeze codes to define transaction restrictions for this account. The system indicates whether or not an account is frozen in the teller posting system.

Miscellaneous charge

This field indicates whether or not all configured service charges should be waived for this account. If No, enter 0 (zero). Any number, 1 through 9, can be used to indicate Yes. Codes 1-9 are informational only and can be used any way the credit union wishes to indicate why charges are being waived (i.e., employee account, Board member, etc.).

  • This does not refer to over-the-counter transaction fees such as deposit item, cashed check fees, printed check and money order fees, and the like.

Statement Indicator

Not currently used.

Passbook process ID

This field indicates whether or not the account is a Passbook printer account. Check this checkbox for yes.

No ANR notice printed

You have the option of excluding certain members (i.e. members whose accounts were flagged for bankruptcy) from receiving Courtesy Pay (ANR) notices on their checking accounts.  Block the sending of the ANR notice by checking this field.  When ANR notice processing is run, CU*BASE will skip all accounts with this flag checked.
